Ukraine Appeal CIO is recruiting a Programme Support & Volunteer Coordinator to provide essential administrative support and manage volunteer coordination across our programmes, Saturday school and community events.

This part-time role is ideal for an organised, proactive individual who enjoys working with people, supporting community activities and keeping operations running smoothly. You will assist the Senior Executive Lead and the Community Engagement & Communications Manager, helping ensure our services are delivered safely, efficiently and with care.

ROLE 3 — Programme Support & Volunteer Coordinator

Part-time | Administrative & Coordination Role

Organisation: Ukraine Appeal CIO

Location: Milton Keynes / Hybrid, with community-based work and travel as required

Reports to: Senior Executive Lead

Hours: Part-time, across 7 days a week

Salary: Competitive salary

Contract: Permanent / Fixed Term (subject to funding)

Essential requirement: Fluent Ukrainian and English (minimum B2 level) are required for this role.

About the Role

Ukraine Appeal CIO is seeking an organised and proactive Programme Support & Volunteer Coordinator to provide essential administrative support, manage volunteer coordination, and ensure smooth delivery of Saturday school and community events.

This role supports both the Senior Executive Lead and the Community Engagement & Communications Manager, forming the operational backbone of our community activities.

Key Responsibilities

A. Programme & Administrative Support

  • Assist the Senior Executive Lead with project administration, scheduling and documentation.

  • Support financial administration, including basic bookkeeping, receipts and budget tracking.

  • Maintain project records, attendance lists, monitoring data and filing systems.

  • Provide logistical support for community events, workshops and outreach activities.

B. Saturday School Administration

  • Manage weekly school operations including registration, attendance and communication with parents and teachers.

  • Coordinate classroom resources, timetables and volunteer support.

  • Ensure safeguarding and health & safety procedures are followed.

C. Volunteer Coordination

  • Recruit, onboard and schedule volunteers for community events and Saturday school.

  • Maintain volunteer records, training logs and communication channels.

  • Work with the Community Engagement & Communications Manager to match volunteers to communications, fundraising or support tasks.

  • Provide ongoing support, guidance and recognition for volunteer teams.

Role Boundaries

  • Provides administrative and operational support across programmes.

  • Coordinates volunteers but does not lead community strategy or communications.

  • Supports both senior roles to ensure smooth delivery of all activities.
